Why we release the door code 24 hours before arrival - not at booking
The pre-arrival system can send two timed emails. The first, 48 hours before check-in, helps the guest prepare. The door code is deliberately held until 24 hours before arrival when the host has configured one.
When a guest books a property, they do not need the door code months in advance. In many cases, sending it too early creates unnecessary risk.
HemmaBo's pre-arrival flow can send two timed emails around a confirmed booking:
- 48 hours before check-in: directions, WiFi details, check-in information, house rules, and practical stay information. No door code.
- 24 hours before check-in: the door code, final arrival details, and any last information specific to the property, when the host has configured that access method.
Why not send the door code at booking?
Three reasons.
Security. A booking made three months in advance means the door code sits in an email inbox for three months. Codes get forwarded, screenshots get shared, and inboxes can be compromised. The shorter the window between code delivery and arrival, the smaller the exposure.
Cancellations. If a booking is cancelled after the door code has been sent, the host may need to change the code. With 24-hour delivery, a cancellation before that window means the code was never sent.
Guest experience. A guest who receives the door code at booking may forget it by the time they arrive. Sending it closer to arrival makes it easier to find when it is actually needed.
The host configures the access method once
Supported access methods include keybox, static code, dynamic code, and smart lock. The host sets this up in the dashboard. From that point, the pre-arrival flow can handle timing and delivery for confirmed bookings.
A German guest can receive instructions in German. A French guest can receive them in French. The host writes the property information once; HemmaBo handles the supported language and timing flow.
What this replaces
Most hosts who manage this manually send the door code in a message thread - sometimes at booking, sometimes the day before, sometimes when the guest asks. The timing is inconsistent, and the process depends on the host remembering.
HemmaBo checks upcoming arrivals and sends the right pre-arrival message in the right window when the booking and property configuration support it. The host does not need to remember the timing for every stay.
Pre-arrival automation is included in your setup. The host sets up the access method and property information once. HemmaBo handles the timed guest messages for supported confirmed bookings.
